Incomplete Email for First Year Applicants

We will be sending out an email later today to First Year applicants with incomplete files.  If you receive this email, please log in to your myStatus to see what you are missing.  Remember, we are going to accept the January SAT and you do not need to contact us to let us know that those scores will be sent.  As long as you designated UGA as an automatic recipient, we will receive your scores in time.

Once you see what you are missing from your application, check with the person who should have sent that material (high school, College Board, etc.) to make sure that it was sent and find out when it was sent.  Verify that the name on the document matches the name you listed on your application.  Keep in mind it takes 5 to 10 business days for us to match material with a file.  If you just submitted something, we may not have had time to match it with your file.

We are sending this email because we want you to complete your file.  If you are incomplete, you do not need to contact us to explain why something is missing or to explain that you are having it sent.  Instead, find out what is missing by checking your myStatus and have that submitted as soon as possible.

January Update


From January 1 through January 22 we have received approximately 4,100 documents from Parchment/Docufide, 2,400 transcripts from GAcollege411 and 8,000 teacher recommendations and high school evaluations from our online forms.  That's 14,500 documents in 22 days!   This does not include documents that were mailed in, emailed to admproc@uga.edu or emailed to individual counselors.   We are working vigorously to match documents with files and as you can imagine we are quite busy.  Documents are being matched as quickly as possible, but this takes time given the large number we have received recently.

Please be patient with us.  Remember, it takes about 8 to 10 business days for us to match a document to your file once we have received it.  If you still have not submitted material from the high school, you should do so as soon as possible!  We will continue to accept material from the school at least through the end of January.

Because we have received a large number of First Year transcripts given the application deadline, we will begin reviewing summer transfer applications a little later this year.  We will likely begin to review summer transfer students in mid February.  Once we have finished reviewing all summer transfer applicants, we will begin to review fall transfers.  Applications are reviewed in the order in which they are completed, not the order received.  For a transfer application to be complete we must receive your application, application fee, and a transcript from each college/university you have attended (including dual enrollment).

Quiet Time

It is now quiet time in our office.  The main desk will still be taking phone calls and answering emails and we will still be conducting Information Sessions.    However, admissions counselors are no longer able to take phone calls or visit with students and families that visit our office.    Counselors need to focus on freshman file reading in order to be able to get decisions out by late March.  We are continuing to work with guidance counselors to help complete admissions files.  For more information, please visit our Quiet Time Information Page.

First Year Update

We are now a couple of days past the First Year application deadline, so here are a few updates on where we are in the process.  Over the few days leading up to the deadline we had about 3,000 applications submitted.  We must check all of the newly submitted applications against our holding file.  If a document is submitted and we do not have an application to match, that document is added to the holding file.  As you can imagine, with 3,000 new applications in the past few days this process is taking much longer than it typically would.  In addition, we are receiving thousands of documents through the mail, GA College 411, Docufide, our online teacher and counselor portal, etc.  What does this mean?  We need time to be able to match these documents with applications, so please be patient.

It generally takes 5 to 10 business days to match a document with an application.  Items submitted using our online forms will typically be matched with an application faster, however this is not an instantaneous process.  Even evaluations and recommendations submitted through our online portal will take a few business days to show up on your myStatus.  The best thing to do right now is be patient.  If a document is not showing as received and it was sent more than 10 business days ago (and you did not apply right at the deadline), double-check to make sure it was sent before contacting us.  We do not have updates at this time on when we will be done matching documents but will post that information when it is available.

First Year Application Reminders

The January 15 Regular Decision deadline is quickly approaching.  This is a busy time in our office as we are receiving thousands of documents, both online and in the mail.  Here are a few suggestions for you as the deadline nears:


  • Do not wait until the deadline to do things.  If you wait until the very last minute to apply, you are putting yourself in a position with no room for error.  We will leave the application open through January 15.  The online payment option is only available until 9:30PM EST, however you will still be able to choose a mail payment option after 9:30.  
  • It is better to apply prior to sending in supplemental material (with the exception of SAT/ACT scores).  An admissions file is not started for you until we receive your application.  It will take longer for us to match your material if you submit something before you apply.  When we receive material and there is no admissions application, that document is added to a holding file.  On the other hand, when you submit something after you have applied, it is added directly to your admissions file.
  • Please be patient.  It can take up to 5 to 10 business days for something to be added to your file once we have received it.  Right before and after application deadlines, our incoming mail greatly increases which can slow things down a bit.  If something is not showing as received on your myStatus, first check with the person who sent it (teacher, counselor, etc.) to verify that it was sent.  Before you call or email us, make sure you have given us enough time to receive and match the document to your file.  Business days do not include weekends and holidays.
  • Make sure the name on your teacher recommendation/high school evaluation/transcript/test scores matches the name on your application.  This is the primary reason something will not be matched with your file.  If you know you sent SAT/ACT scores (and you have verified that they have been sent to UGA from College Board/ACT), please double-check to see that the name, social and date of birth on your exam matches what you listed on your application.  If you know your teacher or counselor has sent in their form and after 10 business days it is not in your file, be sure to double-check and make sure the individual who sent it listed your name correctly.  If you find that there is a discrepancy in how your name, date of birth, etc. is listed, please let us know.
  • We will accept any SAT/ACT that is taken in January for Regular Decision.  You must designate UGA as an automatic recipient for your scores when registering for the exam in order for us to receive them in time.
  • While the deadline is January 15, we will be accepting supplemental documents for a couple of weeks after this date as we know that some schools, counselors and teachers are overwhelmed at this time of year.  That does not mean that you should wait to have things sent in, but that we will try to work with schools on documents.
  • If a school evaluation is submitted online through our system, it will show up in 1 to 2 business days as it goes straight into a student's file.  If a teacher recommendation is submitted online through our system using the link from the email students can generate from the myStatus, it will also show up in 1 to 2 business days.
  • If you send a fax, it will be shredded.  We do not accept faxed documents, so please do not send them.
Be sure to check your myStatus regularly to see if we have received your admissions material and remember to give us 5 to 10 business days to match material once it has been sent.  We appreciate your patience as we work as quickly as possible to match the thousands of documents we are receiving with applicant files.
