The Next Steps!

Now that the Freshman application deadline is in the past, and as all of the supporting documents roll in, here are a few of the things that will be going on in the Admissions Office over the next few months.

  1. We have 8+ bins of mail waiting to be opened, sorted, scanned, and dropped into the proper files. I expect that we will have a fair number of items that are still in the process of being delivered, so it will take until late next week to get through everything (or even later!).
  2. We had over 1,100 applications come in over the extended weekend, and another 700 or so on Monday (and we will have a few more straggle in today from people with application issues that we are clearing up). We now have to search through all our holding files (where we keep documents that have not been matched up yet, usually because they come in before the application), for all 1,800+ applicants. We probably have over 5,000 documents in the holding files, so this takes a while.
  3. We will continue to import SAT and ACT scores, and we will do this until we receive the January 22 SAT scores, most likely in the second week of February. 
  4. We have begun file reading season, and we will be going to what our office calls "Quiet Time". This means that we will not have a counselor available for phone calls, but the wonderful information clerks who answer the phones will still answer them, and will still help anybody who contacts us. As well, they will be answering emails and helping visitors. We will still be doing 8 information sessions per week, and we will be helping applicants and their families, but we also need to set aside time from January through March to be able to read files.
  5. We will still be doing limited travel, but file reading takes a lot of time, so we try to hold off on most Spring travel until after mid-March.
  6. Our evaluation team will be working through mid-February reviewing high school transcripts and checking self-reported grades, and then they will start reviewing transfer files (working on Summer transfers first, then Fall transfers). 
We ask that you have patience as we get through the mail, the surge of applications, and the large amount of files that need to be read. It is a fun time, but it is also exhausting!

  1. my son was deferred and he has completed and sent in everything else needed for part 2, now we sit and wait patiently. He applied for Summer semester thinking this was the Freshman experience, now we know this is not the case. If he gets accepted, can he change to Fall semester and apply for the Freshman experience. We didnt know how all this works. Thanks so much!!

  2. Lrauerson: If your son is admitted, he can then apply to the Freshman College program, and if he is selected to be a part of this program, we will then keep him as summer. If he either decides not to enroll in the summer or does not get selected by Freshman College, then he can contact our office and change to Fall. We are fine to have freshman applicants change from summer to fall or fall to summer, as there is no difference in the decision process.

  4. You may not have these numbers yet, but when you do would you please post them - How many total additional applications have you received for RD and EA deferred and approx. how many additional students will you be offering admission for in mid to late March.

  5. Wondering: Based on the applications in the system right now, we are looking at just under 18,000 freshman applicants. I do not know how many students we will be admitting overall, as we will be tracking deposits through April, looking at files, looking at past years and how many students accepted our admission offers, etc.

  8. I am a deferred applicant and is very worried.
    When I logged in to submit my essays (I am a perfectionist), it said that part 2 of the application is now closed?! I was given the info that the deadline was the 21st!

    Please help! I'm so anxious!

  9. Anon: Minor misunderstanding with our technology team, and it should be back open in a few minutes. I will give a small lecture and ask why you are waiting so late to do this though! If I have repeated nothing else on this blog, it is that you should do things early. Do not wait until the last minute! Ok, done with the lecture.

  11. I plan on transferring in Spring 2012. My question is, is it possible for me to room with someone who already goes to UGA and has a roomate fall 2011. For example if thr student decides they want to change roommates and room with a transfer student is that possible to do?

  12. I have applied for fall transfer 2011. UGA received my application in November and my fall transcript from my current college in December as sited on the UGA status website. Is there any chance I will hear something soon or will I have to wait until March or later? Anxiously awaiting a decision!

  13. Anon I: This question is better answered by the Housing Office, so I would suggest contacting them about roommate situations.

    Anon II: We hope to start reviewing Summer transfer files in mid-February, so I hope that we will get to start on some Fall transfers in late February/early March. I cannot say when you will have a decision, though, as it is always tough to predict the future.

  14. I submitted part II of my application but on my status check it still has a red X next to essays. My dashboard says that I can view part II and print it off for my records,which makes me feel like it has been received. Is the red X on my status check just there because my application has not been processed yet? I am just double checking to make sure I didn't do something wrong!

  15. Anon: If you just did part II today, then you have to wait for us to import it into our system and then display it on the myStatus tomorrow. It is not instant, so give us a little time.

  16. for the admissions in February is anything else looked at other than grades or is it strictly the same process as early admissions? I was a deferred applicant and am curious. I had read from a previous question that usually deferred applicants arent among this lot.

  17. I have just submitted part 2 of the application, but if I click print view, it seems as if my essays have been cut off. None of my essays reached over 200 words, but I did use a lot of indents.
    Could that be the reason why? My essays would suck without the last couple sentences.

    I went to the website to check my status, and it says " You have been classified as a Non-Resident of Georgia for tuition purposes.
    ". I am a Permanent Resident. I scanned my Permanent Resident Card and the form, then I attached them to my email and sent the email to admproc@uga.edu 2 weeks ago. Is it like the school still haven't receive my email yet? Should I send the email again ?

  21. Does UGA accept: "An Early Grade Letter" on GPC letterhead which would contain your grades.
    The letter is not on transcript paper but I was told colleges have used this letter in lieu of transcript paper until they can produce the end of semester transcript..

  23. I applied as a fall transfer student. I was just wondering if I get accepted if it would be possible to change to enroll in summer? or do I need to do this before you start reviewing transfer students? Thanks!

  26. I went to check my status, and under SAT scores, the verbal, math, and writing scores are right, but the total score is not. I'm confuse. Is the total score in " my status " calculates differently than the one in the score report that College Board send me?

  27. Tree: The SAT total on the myStatus page is the combined SAT CR and SAT M (out of 1600) and we then also show the SAT W.

  30. I have submitted everything and transcript have been sent. The transcript was sent yesterday in the mail, and submitted online today. The teacher recommendation and high school evaluation were submitted today. But, on my current status it shows no evidence of any of the recently submitted materials (all has been submitted online). Is this normal?

  31. Anon: Late January is what I have been saying, so late January.

    Anon II: You should contact the Freshman College to learn more about it and their process, as I do not run the program.

    Anon III: If things were just submitted today, they will not show up instantly. First, they have to be matched up with your file. If your counselor did it today online, then it should show up tomorrow, as the counselor generally will select you on their status check and it links directly to your file. For the teacher rec, we generally have to match it by hand, and since we have a lot of items (I matched up about 600 teacher recs and 300 transcripts today alone), it takes a few days. Third, the GA411 transcript comes into our system (but not instantly, but it does not match up directly, and we have to hand match it. And remember, we do not match up things on the weekends, as we are off.

    All: The myStatus page is not a live update, but is updated each a.m. from all materials that were matched up the previous day. Be patient, be patient, be patient. Some things match up directly (part II, online school evaluation), but other items may need to be matched up by hand.

  33. Hello! Thank you so much for all of your help. This must take a lot of time and patience, and is greatly appreciated. I was curious about something....if I am taking the SAT again January 22nd, should I have stated so in Part II of the application so they can wait to review my application until the scores have arrived, or should I contact someone and let them know...or does it matter? Thanks!

I was just wondering, when you referred to February decisions being unlikely for deferred EA applicants because it is the same criteria, but may be accepted if they made a much better SAT score, is it possible to get in if you improved rigor and GPA as well because I took 2 AP's in the fall and got A's in both. Could this help me at all?

  36. Anon I: Thanks!

    Jane D: You do not need to put down that you are taking the Jan. SAT, as the test scores flow automatically into your file when we get the scores, and these will be taken into account when we get them, and your academic profile will be updated. We do not need these before your file is read, as we have it built in to be able to take new scores into account.

    meh: First, we do not take a GPA off of a transcript (just so you know). Second, GPA's are rounded to the hundreth (3.76).

    Anon II: When we do a review of your rigor, it is a review of your 9th through 12th grade courses, so we already are looking at your senior courses. As for new grades, we have too many updated transcripts (possibly over 10,000) to redo GPA's by late Feb., so no, this will not be a part of the Feb. decisions.

When do we find out our decision for admission. i saw on the UGA main site that it was BY april first, but no specific date was listed. can you please elaborate upon the process of decisions. i saw somebody prior to this post mentioned february decisions...and this has led me to be somewhat confused.

  38. emilyk: Here is a cut/paste from one of my previous responses:
    "Yes, in late February we will review all of the RD applicants and deferred EA applicants to see if they meet Early Action admission standards (based on their academic information), and if they do, then we will admit them. Generally, these are mostly RD applicants, as the deferred EA students did not meet EA admission standards in December, so they would need to have increased their SAT/ACT scores to higher level. All other decisions will be released in late March."

    I do not have an exact date in late March, as is depends on how many applications we have overall, how many complete their applications, our read process and how long it takes, etc. Late March is the best I can give you.

  39. I emailed adm-tech@uga.edu and they said "Unfortunately, there is not enough data on your application form to submit it. " but I submitted all parts except for Essay 3 so I was wondering may I mail in a Printed Application the PDF version and would that still be excepted. Thank you.

Parth: As I explained to you before, it would have to be reviewed by the head of our technical team to see what they could do, and unfortunately, we are not able to push your application through. Even when we extended the deadline twice, you still were not able to complete the process, while almost 18,000 other applicants were able to do so. Unfortunately, the answer is no.

  41. I had spoken with my teacher and she had said that she sent my recommendation online. It still says that I do not have it in yet and she sent it online a few days ago. Are files still being matched in the system?

  42. Anon: As I have said, we have a large number of materials come in over the past week, both online and in the mail. And I mean a lot! So it takes a while to get through all of them. If the teacher rec. did not have the SSN, then it has to be viewed and matched by name. This is not an instant process. So please be patient as we go through all of the materials. I generally suggest 8-10 business days from when it was sent before you should worry.

  45. On my "status" page, all my SAT scores are correctly listed. However, no ACT scores are listed. I did much better on the ACT, so I want to be certain that these scores are taken into consideration. I have called and spoken to an assistant in your office who assured me these were included in my file. Why aren't they on my profile online? Can I be sure you will see them? Thanks!

  47. my counselor sent my first semester senior grades in..i realize that they are not figured into the gpa (because i am a deferred ea applicant..but i was wondering if the date will change on my status page showing you received the updated transcript? i just wanted to make sure you get them, but wasnt sure if it would be indicated on mystatus page with a new date?

  48. Question: Yes, the date will change when the updated transcript comes in. The field in our system for a HS transcript has only the month and year, so all January HS transcripts will show as 1/1/2011.
